Meetings & Paper

I hate going to meetings where the organiser prints of heaps of copies of things that sometimes don't even get referred to.

It's such a waste of paper..

Has anyone else had this problem and had any ideas about to solve it...without offending clients??

Stop handing out paper when you don't need to

Next time you're having a meeting, try and avoid handing out print outs to everyone at the meeting.

Instead why not make a light hearted comment at the beginning of the meeting saying you're aiming to keep paper consumption to a minimum and use a projector/laptop instead.

At the end of the meeting email around your presentation and any notes.

I'm going to give this a go and see what the response is like

For the last five years, I created virtual delegate packs on our intranet for those people attending my training. It was loads more useful as we ended up with a database of dated documents. It saved mountains of paper too. Originally, people were a little confused and once they'd realised how rarely they referred to handouts anyway, they were fine with this approach.

If you have external speakers, then ask them to leave email addresses if they want materials, and make sure these are better than simply printed slides!

I start teaching in September, so keeping paper to a minimum will be desirable anyway for organisation, if a bit tricky at times. Definitely want to try, will report back

I printed up four A6 agendas on a single A4 sheet, which was enough for those who needed.

Not zero but down to 25%

I printed out the multi-page document as an A5 booklet rather than on A4 sheets, thanks to ClickBook from BlueSquirrel (http://www.bluesquirrel.com/). There's even a Windows version as well as the Macintosh version for those still on Micro$oft.

I haven't managed to stop the paper with colleagues, but in meetings we often only have a few so they are shared by people rather than each having a copy

I've found this difficult to achieve for meetings so instead I've looked at my own paper usage for work.  I keep all my scrap paper that doesn't have confidential stuff on it and keep it for notes - if i need to print something which is just for me I prit on the other side of the scrap paper and leave the new stuff for  important documents.
